Three forces push parts spending above market. Urgency: when an air conditioner fails in July, the property pays whatever the part costs that afternoon, because a resident is waiting. Opacity: parts are identified by manufacturer numbers — a blower motor appears on an invoice as an alphanumeric string no one in the office can price-check. Convenience: technicians buy from the supply house they already know, and that one counter quietly becomes the sole source for everything. None of these is misconduct. All three raise cost. HVAC parts: OEM versus universal, and where each channel fits

HVAC parts split into two classes. OEM parts carry the equipment manufacturer's number and are the safe default for control boards, matched compressors, and anything on equipment still under warranty. Universal parts — run capacitors, contactors, condenser fan motors, igniters — are built to a spec, not a brand, and a universal that meets the rating replaces the OEM at a lower price with no functional loss. Appliance parts: the OEM part number is the search key

Every appliance part resolves to an OEM part number, and that number is the search key. Start from the appliance's model tag, pull the manufacturer's parts diagram, and read the exact number — including revisions, since manufacturers supersede numbers as designs change. Then search the number itself, not a description. Searching the OEM number across suppliers surfaces two things: the OEM part at a range of prices, and cross-reference compatibles — parts made to fit that number, usually at a meaningful discount. Capture the part number at the work order, not the invoice

The part number exists at exactly one convenient moment: when the technician is standing in front of the failed part. Capture it there. Require a photo of the part label or the equipment model tag on the work order, and make the part-number field mandatory before a purchase order is issued. This costs the technician thirty seconds. It buys the office two abilities it otherwise never has: purchasing can price-check the number across channels before a non-urgent order goes out, and anyone can verify the invoice against a known part afterward. Stock the parts that fail constantly; order the rest on demand

A small stockroom beats a fast supplier. Sometimes the expensive part is the correct purchase. A down air conditioner in July or a dead water heater in January is a habitability problem, and the cost of a slow repair — resident goodwill, hotel nights, in some states statutory remedies — exceeds any parts markup. In those cases the premium buys time, and time is genuinely worth the money. The discipline is keeping the emergency price for emergencies. Ask one question at the point of order: is a resident living without heat, cooling, or hot water right now? If yes, buy from the fastest reliable source and do not apologize for the price. Procedures drift.
