GL Code (General Ledger Code)

A GL code (general ledger code) is the numbered account in a property's chart of accounts to which every transaction posts, determining how income and expenses roll up into budgets, variance reports, and financial statements.

How GL codes work in multifamily

Every property runs on a chart of accounts — a numbered list of income and expense accounts — and every invoice, payment, and journal entry posts to one of those numbers. Repairs and maintenance typically carries its own range of codes, broken out by trade or type: plumbing, electrical, HVAC, appliances, supplies, contract services. Accounting platforms like Yardi and RealPage organize budgets, variance reports, and financial statements around these codes, so the GL structure quietly determines what management can and cannot see about its own spending.

Why coding quality matters

Every downstream report inherits the coding. A capital replacement posted to R&M inflates operating expenses and understates NOI; a repair buried in CapEx does the reverse. Miscoded lines corrupt budget variance, per-unit benchmarks, and portfolio comparisons all at once. But there is a harder limit: a GL code records what category money left through, not whether the price was right. Two properties can code identically and pay very differently for the same part. Common mistakes

The classic failure is the dumping ground: a miscellaneous or other code that quietly absorbs whatever a busy site team cannot classify, until a material share of R&M is unlabeled. Inconsistent coding across a portfolio is subtler — each property is internally coherent, but roll-ups compare apples to oranges. Both problems are found the same way: pull the invoices behind the codes and read them. The ledger summarizes; only the invoice explains.
