Invoice Line Item
An invoice line item is a single row on a vendor invoice recording one product or service with its quantity and price — the smallest unit at which a property's spending can be verified.
What a line item contains
A complete line item names the product (usually with the supplier's SKU), the quantity, the unit price, and the extended total. Some add a job reference or the unit number the part went to. The invoice total is just the sum of its lines — which means everything you can learn from an invoice, you learn at the line level. A single invoice total tells you almost nothing; its individual lines tell you what was bought, in what amounts, and at what price each. Spend analysis, price verification, and vendor audits all run on line-item data, not totals.
Line items are where overspend hides
Invoice totals almost always look reasonable. A supply run that cost a few hundred dollars raises no flags, and an approver reviewing dozens of invoices a week has no way to know whether any single part on any single invoice was overpriced. The overpayment is not visible at the total level — it lives inside individual lines, one item priced above what another verified supplier charges for the same thing. That is why an invoice review that stops at totals finds nothing, and a line-by-line vendor invoice audit finds what the totals concealed.
Line items connect purchasing to the general ledger
When an invoice is coded into the accounting system, its lines are usually collapsed into one or two GL codes — the item detail exists on the invoice but never reaches the ledger. That is why GL-level reporting can say a property spent more on repairs but cannot say on what, or at what prices. Recovering the detail means going back to the source documents and re-extracting every line, which is the first step of The Benchmark and of any serious spend review at the property level.
